Terms and Conditions

Clinic: PetFriends Veterinary Clinic – Fairview Branch
By accessing or using the PetFriends mobile or web application ("Application"), you agree to be bound by these Terms and Conditions. If you do not agree, please do not use the Application.
1. Purpose of the Application
PetFriends is an appointment scheduling and pet record management system for grooming, boarding, and veterinary services offered by PetFriends Veterinary Clinic – Fairview Branch. The application also includes an augmented reality (AR) feature for authorized clinic staff and Users.
2. User Eligibility
Users must be at least 18 years old or have permission from a parent or legal guardian to create an account and book services.
3. Appointment Booking Rules
3.1 Booking Availability
Same-day appointments are allowed provided the booking is made one (1) hour and thirty (30) minutes in advance.
Appointments are scheduled in hourly time slots.
The number of available slots depends on the service type (grooming, boarding, or veterinary).
3.2 Walk-in Policy
Walk-in clients are accepted only in emergency cases.
Scheduled appointments always have priority.
The clinic reserves the right to prioritize emergency cases over scheduled appointments.
3.3 Multiple Appointments per Pet
Grooming and boarding services may include multiple appointments in one pet.
Veterinary services may require separate time allocation per pet, depending on the service selected.
4. Booking Fee and Payment Verification
4.1 Booking Fee
A non-refundable booking fee of ₱100 is required for all appointments.
4.2 Proof of Payment
A screenshot of payment must be uploaded immediately after booking through the application.
Screenshots that are blurry, unreadable, altered, or suspected to be fake will result in automatic cancellation.
4.3 Verification Process
Payment verification is performed by clinic staff.
Users may be asked to re-submit proof if necessary.
The clinic has final authority to approve or reject proof of payment.
4.4 Booking Fee Usage
The ₱100 fee will be deducted from the total service bill if the appointment is completed successfully.
The fee is non-refundable for:
4.5 Refund Processing Method
All approved refunds shall be processed directly by the clinic and the user outside of the Application.
The Application does not process or store payment credentials and does not facilitate direct refunds. Users will be contacted by the clinic through the registered email address or phone number to arrange the refund.

- User-initiated cancellations
The fee is refundable only if the clinic cancels or reschedules the appointment.
5. Arrival, Lateness, and No-Show Policy
5.1 Arrival Time
Users must arrive on time.
Arriving up to 10 minutes early is allowed.
5.2 Grace Period
A grace period of 20 minutes is provided.
5.3 Late Arrivals
After 20 minutes, the appointment may be cancelled at the clinic's discretion.
The booking fee will not be refunded.
5.4 No-Shows
Failure to arrive without notice results in forfeiture of the booking fee.
No additional penalties apply.
6. Rescheduling and Cancellation
6.1 Rescheduling
Users may reschedule up to 6 hours before the appointment time.
Once an appointment is rescheduled or cancelled, the original time slot becomes immediately available to other users.
Rescheduling is subject to slot availability.
6.2 User Cancellation
Booking fee is not refundable.
6.3 Clinic Cancellation
If the clinic cancels or reschedules due to emergencies, technical issues, or unforeseen circumstances, the booking fee will be refunded.
Refunds arising from clinic-initiated cancellations or rescheduling shall be coordinated directly between the clinic and the user via the provided contact details.
The Application shall not be held responsible for delays caused by external payment providers or user banking platforms.
6.4 Clinic-Initiated Cancellation or Rescheduling
The clinic reserves the right to cancel or reschedule any appointment at any time due to emergencies, operational issues, staff availability, or other unforeseen circumstances.
In such cases, the user will be notified, and the booking fee shall be fully refunded or credited to the user.
7. Service-Specific Policies
7.1 Grooming
Service prices varies depending on pet size.
7.2 Boarding
Boarding is charged on a daily basis.
Users must specify drop-off and pick-up times.
Late pick-ups may incur additional fees determined by the clinic.
7.3 Veterinary Services
Surgical services are not available through the app.
Users may select specific veterinary services (e.g., consultation, vaccination).
8. Clinic Delays and Emergencies
In the event of:
- Emergency cases
- Power outages
- Natural disasters
- System failures
Appointments may be delayed or cancelled. Users will be notified via:
- In-app notification
Refunds will be provided when applicable.
9. User Responsibilities
Users confirm that:
- Their pet is fit for the selected service.
- Vaccination records are accurate and updated when required.
- Their pet does not pose unreasonable danger to staff or other animals.
10. Liability for Pet Behavior
Pet owners are legally responsible for any injury, damage, or harm caused by their pets to:
- Clinic staff
- Other clients
- Other animals
- Clinic property
The clinic and PetFriends application shall not be liable unless damage is caused by proven negligence of clinic staff.
11. Augmented Reality (AR) Feature
The AR feature uses the device camera and is available to authorized staff and Users.
The camera is used solely for displaying pet-related information.
Pet images and related data may be stored securely in the system for record-keeping purposes.
No personal user images are captured without consent.
This feature requires ARcore supported devices and must be Android 11 or later.
A device with Google Play Services for AR installed, and a supported Android phone with, at minimum, an accelerometer, gyroscope, and back-facing camera.12. Account Suspension and Termination
Accounts may be suspended or terminated under the following conditions:

| Repeated no-shows | Suspension after 3 incidents |
The clinic reserves the right to restrict access to protect staff, clients, and system integrity.
13. Data Privacy
User and pet information is collected solely for appointment management and clinic operations. Data is handled in accordance with applicable Philippine data protection laws.

14. Limitation of Liability
PetFriends acts as a scheduling and management platform only. Medical outcomes, grooming results, and boarding conditions are the responsibility of the clinic.
15. Modifications
PetFriends reserves the right to update these Terms and Conditions at any time. Users will be notified of significant changes through the application.
16. Governing Law
These Terms shall be governed by the laws of the Republic of the Philippines.
